This Refund Policy ("Policy") governs refunds, returns, and cancellations for services provided by STOVELL FLEET SERVICES LLC ("we", "us", "our"). By engaging our services, you agree to this Policy. We are committed to client satisfaction and fair resolution of disputes. This Policy applies to all services and parts provided by us. Contact us at the information in Section 15 with questions.
We stand behind our work. If you are unsatisfied with our services, contact us immediately. We will review the issue and, at our discretion, provide re-performance, credit, or refund. Refund eligibility depends on the nature of the issue, whether we were given the opportunity to correct it, and whether the issue is covered by warranty. Refunds are not provided for services that have been completed correctly but do not resolve underlying issues that were not diagnosed or were outside the scope of work. We reserve the right to inspect the vehicle before approving any refund.
Installed parts cannot be returned. Uninstalled parts may be returned within 30 days of purchase with original receipt, in original packaging, unused, and in resalable condition. A restocking fee of up to 25% may apply. Special order parts are non-returnable. Parts with manufacturer warranty are handled through the manufacturer's warranty process. We will assist with warranty claims. Refunds for parts are issued after the return is inspected and approved.
You may cancel scheduled services with at least 24 hours notice without penalty. Cancellations within 24 hours may incur a cancellation fee of up to 25% of the estimated service cost. No-shows may be charged the full diagnostic fee. Emergency services canceled after dispatch are subject to a dispatch fee of $50-$100. We reserve the right to cancel services for safety concerns, weather, or other reasonable causes; in such cases, deposits are fully refunded.
We may require deposits for large repairs or special order parts. Deposits are applied to your final invoice. If you cancel with at least 24 hours notice, deposits are refundable minus any costs incurred. If you cancel without notice or no-show, deposits may be forfeited to cover preparation costs and lost business. Prepayments for services not yet rendered are refundable minus any costs incurred and a reasonable cancellation fee.
Emergency and roadside services are time-sensitive and resource-intensive. Refunds for completed emergency services are not provided unless the service was not performed as requested. If we are unable to reach your location or complete the service due to circumstances beyond our control (e.g., weather, inaccessible location, safety concerns), we will refund any prepaid amount minus a dispatch fee of $50-$100 to cover our travel costs.
Diagnostic fees are non-refundable after diagnosis is performed, as the service has been rendered. If we perform diagnostics and you choose not to proceed with repairs, the diagnostic fee remains payable. If diagnostic service is included in a repair package and the repair is not completed due to your cancellation, the diagnostic fee may be deducted from any refund. We provide detailed diagnostic reports; you are paying for our expertise and time.
If final charges exceed the estimate by more than 15% without your authorization, you may request a review. We will adjust charges to the estimate amount if we failed to obtain proper authorization. If you authorized the additional work, no refund is available. If the discrepancy is due to unforeseen conditions that we communicated and you authorized, no refund is available.
Warranty claims are handled through re-performance of the work or replacement of parts. Refunds are not provided as an alternative to warranty service unless we are unable to correct the issue after a reasonable number of attempts. If a refund is provided for a warranty claim, it is limited to the fees paid for the specific service and does not include consequential damages. Warranty refunds are provided at our discretion.
If you dispute a charge with your credit card company or bank, we will investigate. We reserve the right to suspend services and collection of additional amounts if a chargeback is filed. If the chargeback is determined to be without merit, you are responsible for all collection costs, legal fees, and interest. We will work in good faith to resolve disputes before chargebacks are filed.
Refunds are processed within 10-15 business days of approval. Refunds are issued to the original payment method. If the original payment method is unavailable, we may issue a check or store credit. We require written refund requests. Requests must include your name, contact information, date of service, invoice number, and reason for refund. We may request additional documentation to verify the request.
Refunds are limited to the amount paid for the specific service or parts in question. We do not provide refunds for: labor for services performed correctly, parts that are installed and functional, services outside warranty period, services not paid in full, services performed on Client-supplied parts, services affected by pre-existing conditions, or inconvenience, loss of use, rental cars, towing, lost wages, or other consequential damages.
We strive for 100% client satisfaction. If you are not satisfied, we will work to make it right. We cannot guarantee that every repair will resolve all issues or that your vehicle will be problem-free, as vehicles are complex machines with many variables. We provide our services with professional care and expertise. Our commitment is to quality workmanship and fair dealing.
We reserve the right to update this Policy. Changes posted on our website. Material changes will be notified. Your continued use of services constitutes acceptance. Review this Policy periodically.
